Ajinomoto Foundation has set out this privacy note to notify the Foundation’s activities’ participants of the Foundation’s practice in collection, use, disclosure, and protection of your personal data as well as your legal
rights, as a data subject, subject to Personal Data Protection Act B.E. 2562 as follows:
1. Definition
“Foundation” means Ajinomoto Foundation;
“PDPA” means Personal Data Protection Act B.E. 2562;
“Privacy Note” means this privacy note;
“Person” means a natural person;
“Personal Data” means any information relating to a Person, which enables the identification of such Person, whether directly or indirectly, but not including the information of the deceased Persons in particular;
“Data Controller” means a Person or a juristic person having the power and duties to make decisions regarding the collection, use, or disclosure of Personal Data (in this Privacy Note = the Foundation);
“Participant” means student who applies for scholarship or got scholarship from the Foundation, parents/relative of such student, teacher or personnel of educational institutions, Research Institutions, Professional Association, Government and Knowledge
Organizations, Person who sell or provide service to the Foundation, personnel of juristic person who sell or provide service to the Foundation, Person who apply for the Foundation’s project or activities, Person who participate in the Foundation’s
project or activities and Stakeholder of the Foundation’s project or activities.
2. Personal Data that the Foundation Collects, Uses or Disclose and Retention Period
2.1 Personal Data: the Foundation collects, uses or disclose personal data differentially in each projects according to type of the project/activities in the scope as the following details;
1) Canteen & Nutrition Project
Personal information such as name-surname, nickname, identification number, passport number, tax identification number, gender, date of birth, age, religious, racial/nationality and health/nutrition information;
Contact information such as address, telephone/mobile number, fax number, Email, Account ID of LINE/Facebook/Social Media and Person contact in case of Emergency;
Education information such as Education Background, Education Result, Skill and Records of Training/Internship/Exchange;
Working/Employment information such as Workplace/Address, Government ID card, Work Experiences, position, service year, research/project data and publications;
Portraits/Photo and/or Motion Picture/Video such as Portraits/Photo and/or Motion Picture/Video which participant has submitted to the Foundation or create during participated to the Foundation’s project/activities
Any information which is deemed a Personal Data under PDPA.
2) Education & Other Project
Personal information such as name-surname, nickname, identification number, passport number, tax identification number, gender, date of birth, age, religious, racial/nationality marital status, military status, health/nutrition information, vehicle registration
number, finger/face/retina scan, and criminal record;
Contact information such as address, telephone/mobile number, Email, Account ID of LINE/Facebook/Social Media and Person contact in case of Emergency;
Education information such as Education Background, Education Result, Skill and Records of Training/Internship/Exchange and Award Recognition;
Working/Employment information such as Workplace/Address, Work Experiences, position, service year, research/project data and publications;
Family information such as family status, information of parents, guardian & sibling;
Financial information such as bank account number, income, outcome, working / employment of all participants, record of scholarship granting and student Loan;
Written Statement/Article such as thinking concept, attitude, background, experience, study plan, Personal interest in educational institutions, comments and reports;
Portraits/Photo and/or Motion Picture/Video such as Portraits/Photo and/or Motion Picture/Video which participant has submitted to the Foundation or create during participated to the Foundation’s project/activities
Any information which is deemed a Personal Data under PDPA.
3) PR & Communication Activities
Personal information such as name-surname, nickname, identification number, passport number, tax identification number, gender, date of birth, age, religious, racial/nationality;
Contact information such as address, telephone/mobile number, Email, Account ID of LINE/Facebook/Social Media and Person contact in case of Emergency;
Education information such as Education Background, Education Result, Skill and Records of Training/Internship/Exchange and Award Recognition;
Working/Employment information such as Workplace/Address, Work Experiences, position, service year, research/project data and publications;
Written Statement/Article such as thinking concept, attitude, background, experience, Personal interest, comments and reports;
Technical information such as data from Google Analytics, IP address number, log-in history, setting, web browser connection, data usage and settings (log), age, gender, usage behavior, interest in the services provided by the service provider including
receiving personal information from third parties such as login account from line/Facebook/social media and online service provider i.e. Google and Email & Password Login by receiving information when you apply for the system or access
the system through a third party channel.
Any information which is deemed a Personal Data under PDPA.
2.2 Retention period
(1) The Foundation will retain your Personal Data as long as necessary during the period you are a Participant or even after that as stipulated for 10 years or allowed by law including for the purpose of proof or examination in case of dispute within
the maximum legal prescription period e.g. 10 years from the date of termination of the contract.
(2) The Foundation will erase or destroy or anonymize the Personal Data when it is no longer necessary or being expired as aforementioned. In case of personal data of the applicants who fail or dismiss from the participation of each project/activity,
the foundation will erase or destroy the Personal Data within 1 year from the end of the selection process.
3. Purposes of collecting, using and/or disclosing Personal Data
The Foundation will collect, use, and disclose your Personal Data as necessary for the operation of Foundation’s objectives e.g. implementation/execution of project/activities which are differently operated, development of human resources and participant
in project/activities, communication and public relations of project/ activities to the public, procurement, performance of a contract to which the Participant is a party, legitimate interests of the Foundation, any other persons or juristic persons,
compliance with the law, preventing or suppressing a danger to a person’s life, body or health, financial transaction, the Foundation’s operation, contacting or participation in Foundation’s activities.
4. The Case Where Participant is Required to Provide Personal Data in order to Comply with the Law or Contract. Possible Effect from not providing Personal Data
The Foundation may request the Participant to disclose Personal Data to the Foundation for the purpose of performing the obligation under a contract or legal compliance with relevant laws e.g. taxation law, anti-money laundering law and etc. which if
the Participant does not provide such Personal Data accordingly, the Participant may not be able to be a Participant of the Foundation or the Foundation may not be able to perform its obligation under a contract with Participant or the Foundation
may not be able to comply with such relevant law.
5. Types of persons or entities that the Foundation may be required to disclose Personal Data of Participant to such persons or entities
(1) When it is necessary, the Foundation may send or transfer your Personal Data to the concerning institutions or organizations which collaborated with in overseas or to other receivers in the ordinary course of the Foundation’s operation including sending
or transferring the Personal Data to be stored on server/cloud in overseas countries.
(2) When it is necessary, the Foundation may send or transfer your Personal Data to the concerning institutions or organizations which collaborated with in Thailand or to other receivers in the ordinary course of the Foundation’s business including sending
or transferring the Personal Data to be stored on server/cloud in Thailand.
(3) The Foundation may disclose your Personal Data as required by law, such as disclosure to government agencies and concerning organizations, external auditors i.e. Account Auditors Operation Auditors, requirement under litigation process and etc.
(4) The Foundation may disclose your Personal Data for communication and public relation the Foundation’s project/activities through mass media, social media, website, media in other channels in order to announce project/activities to the public.
6. Your Rights under PDPA
Participant as a data subject has the following rights:
(1) Right to access and receive a copy of your Personal Data: you have the right to access your Personal Data that is under the Foundation’s responsibility; to request the Foundation to make a copy of such
data for you; and to request the Foundation to reveal as to how to Foundation obtain your Personal Data without obtaining consent from you (if any).
(2) Right to object: You have the right to object to collect, use and/or disclose of your Personal Data at any time as allowed by PDPA.
(3) Right to erase or destroy of data: You have the right to request the Foundation to erase, destroy or anonymize your Personal Data in the case where the Foundation no longer needs to collect, use, or disclose
your Personal Data; or when you withdraw your consent or object to the processing as earlier described; or retention of the data is against PDPA.
(4) Right to request for processing suspension: You have the right to request the Foundation to suspend processing your Personal Data as specified by PDPA, such as the Foundation is in the process of verifying
the current or completeness of the Personal Data; or Personal Data has been collected, used or disclosed not in compliance with PDPA; or the Foundation no longer needs to collect, use, or disclose, etc.
(5) Right to request for data rectification: You have the right to rectify your Personal Data to be updated, complete and not misleading.
(6) Right to withdraw consent: You have the right to withdraw consent of your Personal Data as specified by PDPA. However, withdrawing consent may affect the Participant. Therefore, Participant should study
the effects before withdrawing the consent.
If you withdraw the consent, the Foundation is subjected to suspense your rights as follows; rights to reach and use the service, right to get the information, right to apply and participate in the foundation’s project/activities
with no expenses, right to receive supporting budget/fund, right to receive any supports for your project/activities and your organization, right to receive the granting scholarship and being a scholar as well as the right to receive the award/donation
from the foundation in all case.
(7) Right to lodge a complaint: You have the right to complain to competent authorities pursuant to relevant laws if you believe that the collection, use and/or disclosure of your Personal Data is violating
or not in compliance with relevant laws.
7. Retention of Personal Data on Cookies

8. Review and improvement of the Personal Data
The Foundation may revise this Privacy Note in order to comply with the interpretation, enforcement, and changes of PDPA by government agencies (if any).
9. Consent
In the event that the Foundation needs to get your consent on collection, use, or disclosure of your Personal Data as required by PDPA, the Foundation shall seek your consent accordingly.
10. The Foundation’s information, contact channel, and method
The Participants, as the data subject, is entitled to exercise your rights under Clause 6 (1) - (6) as aforementioned by submitting a request in accordance with the application form set by the Foundation to the Data Officer of the Foundation as mentioned
below.
If in the future, it is clearly required by PDPA that the Foundation needs to appoint data protection officer ("DPO"), the Foundation shall appoint the qualified person accordingly.
